OIS Assignment Coordinator, English-French | Ottawa | COMPETITION # 2019-041

POSITION: OIS Assignment Coordinator; English-French
LOCATION: OIS Scheduling Centre, Ottawa
START DATE: Immediately
MINIMUM START SALARY: $47,581.11 per annum 
POSITION STATUS: Permanent; Full-time; 35 hours per week
 
POSITION SUMMARY:
As part of a quadra-lingual ten-member team located in Ottawa, the OIS Assignment Coordinator will be responsible for arranging interpreting services for culturally Deaf, oral deaf, deafened, hard of hearing and hearing consumers throughout Ontario. OIS provides ASL-English and LSQ-French interpreting services. 
 
This position will focus on providing services in English and French. 
 
Duties include:  
  • Taking requests and scheduling interpreters, supporting an efficient system of delivery for interpreters and consumers factoring in local issues and variables.
  • Undertaking the financial processing and statistical reporting of the service.
  • Educating customers and the public on the appropriate use of interpreter services, fee-for-service, video remote interpreting services (VRI), etc. 
 
MAJOR RESPONSIBILITIES:
 
Direct Service
  • Receive requests from hearing, culturally Deaf, oral deaf, deafened and hard of hearing consumers and customers via TTY, Skype, fax, e-mail, mail, etc.
  • Assess needs of a request, preferences, interpreter availability/skill level and local travel/time factors, etc.
  • Search, match, and confirm request with appropriate interpreters.
  • Follow up and monitor request until filled, refused or cancelled.
  • Confirm assignment, date, location with consumers and interpreter.
  • Request and provide preparatory information for interpreters as required (information regarding the nature of assignments and other written material for review).
  • Negotiate fee-for-service with customers, including out of town charges; as required.
  • Educate consumers and customers on protocols for booking interpreters, AODA and rights to access, on the appropriate use of interpreter services, external protocols for service, and fee-for-service, use of Emergency Services, funding resources available for interpreter services, etc.
  • Coordinate assignments for Interpreter Internship Program (IIP) in conjunction with OIS Provincial, as required. When booking interns, liaise with IIP and consumers for assignment approvals.
  • Arrange travel and accommodations for interpreters who must travel out of town.
  • Answer client questions regarding general information, invoices and assignments
 
Administration
  • Administer services using the OIS Scheduling System.
  • Undertake financial activities to facilitate billing and payment processes.
  • Undertake statistical data inputting activities to facilitate reporting to funders and management 
 
LINE OF RESPONSIBILITY:
 
Reports to Supervisor, OIS Scheduling Centre, Ottawa
 
QUALIFICATIONS:
  • 2 or 3-year College diploma in Business Administration, interpreting training or equivalent.
  • 2 years’ administrative/general accounting/customer service experience.
  • Experience in scheduling assignments and using a computerized scheduling system; conducting business in English and French via written correspondence is required.
  • Excellent analytical, time management, problem-solving skills as well as attention to detail.
  • Excellent interpersonal, organizational and communication skills.
  • Proficiency in MS Office Suite, especially Excel; proficiency in Internet, SKYPE and Google Maps, databases and Outlook; comfortable with video conferencing equipment including problem-solving connection issues.
  • Strong negotiation and decision-making skills.
  • Able to work independently and as part of a team.
  • Knowledge of issues related to hearing loss and Deaf Culture an asset.
  • Bilingual English and French required; proficiency in ASL an asset or willingness to learn.
  • Demonstrated sensitivity to working in a culturally diverse environment.
  • Occasional travel – annual retreat, language classes, or other professional development
