POSITION SUMMARY:
Key member of the Marketing & Communications department, Head Office providing administrative support and acting as the agency's information hub
MAJOR RESPONSIBILITIES:
Direct Service/Administrative:
• To create, draft, edit, and update materials for external audiences, e.g. press releases, resource lists, articles, brochures, CDs, DVDs, status reports, open letters, website content, newsletters, Vibes magazine content, etc.
• To research and find opportunities to enhance the profile of CHS, i.e. media, trade tables, periodicals
• To assist in Fundraising and Communications efforts for special projects e.g. fundraising and awareness raisings events (Maymonth events, Open Houses, Deaf Awareness Week, Noise Awareness Day)
• To be the key provincial person responsible for handling and filling product and information orders, from internal CHS program and regional staff, on a daily basis, in a timely, professional and accurate manner
• To field and fulfil all external requests for products and information from email (

), the CHS website, toll-free telephone and TTY calls, written requests, walk-ins, the CHS e-store
• To answer all information requests or refer to appropriate CHS regions/programs or external resources
• To maintain central archives, including intranet postings, and inventory of all CHS information materials
• To vet program and regional promotional material and submissions to the Website
• To review Website content, navigation, links, etc.
• To maintain information displays bookings and supplies
• To provide general administrative support to Marketing & Communications department as assigned
• To process and maintain files on all supplier invoices; liaise with Financial Services; maintain petty cash for the department
• To process all Vibes-related invoices and correspondence; liaise with Vibes project manager
• To invoice all sales and monitor accounts receivable
Professional Development:
• To attend all department and agency staff meetings
• To keep up to date with relevant legislation and trends
• To acquire and maintain ASL proficiency to the level required for the position (Intermediate Plus)
LINE OF RESPONSIBILITY:
Reports to Director, Marketing & Communications
QUALIFICATIONS:
• Bachelor's degree in English or equivalent
• Three to five years related work experience in marketing, advertising or public relations
• Superior writing/editing expertise
• Demonstrated excellent organizational and research skills
• Demonstrated experience in a customer service/information distribution role experience preferred
• Proficiency in ASL (American Sign Language) skills or willingness to learn
• Knowledge of deafness and the continuum of hearing loss
• Demonstrated maturity, good judgement, effective communication skills, ability to work under pressure and with a wide variety of people
• Proficiency in Microsoft Office Suite (Word, Excel & PowerPoint), and internet
• Demonstrated excellent customer service and interpersonal skills
• Demonstrated sensitivity to working in a culturally diverse environment
