Position: PROGRAM ASSISTANT I - SIGN LANGUAGE SERVICES
Location: Kingston
Start Date: January 17, 2011
Minimum Start Salary: $31,006 per annum pro-rated to 10 weeks
Position Status: Contract to March 31, 2011; Full-time; 35 hours per week

 

POSITION SUMMARY:

Assist the Regional Director, in the operation of the Sign Language Services (SLS) through secretarial and program support. Provide information to the public about policies and procedures for the SLS program.

MAJOR RESPONSIBILITIES:

Direct Service:

•    Answer departmental incoming calls/answering machines and emails; screen, forward and take messages
•    Act as a resource to the public and other agencies for SLS program related issues and concerns
•    Act as resource for public inquiries about CHS programs and services, and refer inquiries to appropriate programs, agencies where necessary
•    Maintain program resources
•    Provide assistance to SLS instructors and students as required
•    Liaise and assist with external contracts for the provision of SLS instruction
•    Facilitate partnerships with respects to CHS’ program standards and outcomes for Sign Language Services and external contracts with partner agencies
•    Liaise with provincial Sign Language Services for standards, information and materials
•    Conduct follow-up as well as student satisfaction questionnaires
•    Respond to immediate complaints and liaise with appropriate staff or manager
•    Provide switchboard and other reception relief as needed
•    In consultation with managers, develop and implement marketing plans to promote the SLS program
•    Other duties as assigned

Administration:

•    Provide confidential and general secretarial support to the manager and other staff as required
•    Maintain accurate and confidential program files in accordance with departmental and funder policies
•    Attend meetings as required
•    Responsible for collating statistics and providing reports as required
•    Research, maintain and update manual/computerized resource lists, files and information in relation to department service, community contact, networks, etc.
•    Assist with co-ordination of SLS program
•    Attend other committee meetings as required
•    Other duties as assigned

Financial: 

•    Maintain and prepare information for Financial Services including invoices, cheque requisitions, special billings, cash cheques, petty cash, etc.

Community Education:

•    Provide general information to the public about programs and services via phone, written correspondence and walk-in inquiries
•    Participate in presentations and displays related to CHS programs and services
•    Participate in specialized campaigns such as the internal United Way Campaign, May Month, etc.

Professional Development:

•    Attend internal staff meetings
•    Attend and participate in workshops/seminars related to position
•    Keep up-to-date on issues and information related to position and agency
•    Acquire and maintain the ASL Proficiency requirement for the position (Intermediate Plus)


LINE OF RESPONSIBILITY:

Regional Director, Kingston

QUALIFICATIONS:

•    Graduate of a Community College in Office Administration or equivalent
•    3-5 years work experience
•    Experience with Signing Naturally Curriculum an asset
•    Proficiency in MS Office Suite, Internet and database applications
•    Excellent communication, interpersonal and customer service skills
•    Excellent organizational skills and ability to work both independently and within teams
•    Excellent information management skills and attention to detail
•    Able to work under pressure and meet deadlines
•    Proficiency in American Sign Language (ASL) or willingness to learn
•    Demonstrated sensitivity to working in a culturally diverse environment
•    Occasional local and out of town travel e.g. venues, training, meetings, or travel to the Belleville CHS office, etc.
