Position: SECRETARY/RECEPTIONIST - Hearing Aid Program
Location: Toronto Region
Start Date: Immediately
Minimum Start Salary: $34, 626 per annum
Position Status: Permanent; Full-time; 35 hours per week

 

POSITION SUMMARY:

Perform general reception and secretarial functions for the Toronto Region Hearing Aid Program.
Provides general information in response to public inquiries and assists in provision of client services.

MAJOR RESPONSIBILITIES:

Direct Service:

•    Answer all incoming calls for Hearing Aid Program and provide back up for Audiology reception as needed
•    Provide appropriate information about general CHS services in response to phone/email, correspondence and walk-in inquiries
•    Book appointments for clients and office staff and maintain schedules
•    Act as a resource for public inquiries and refer calls to appropriate regional office
•    Maintain battery sales, hearing aid supplies and accessories
•    Assist with the maintenance of communication devices and minor hearing aid repairs
•    Provide reception/secretarial coverage for Hearing Health Care Services as required
•    Other duties as assigned

Administration:

•    Provide clerical support including typing memos/reports, photocopying, filing, etc.
•    Prepare appropriate documents for repairs, earmolds, exchanges, returns, etc.
•    Maintain confidential client files and computer database
•    Responsible for accounting and invoicing procedures
•    Order and maintain office supplies as required
•    Other duties as assigned

Community Education:

•    Provide immediate information for general public inquiries
•    Participate in community projects and specialized fundraising campaigns, e.g. United Way Campaigns, May Month, etc.

Professional Development:

•    Attend all department and agency staff meetings
•    Keep up-to-date on issues and information related to position and agency
•    Attend and participate in workshops/seminars/continuing education courses related to position
•    Acquire and maintain the ASL Proficiency requirement for the position (Intermediate Plus)

LINE OF RESPONSIBILITY:

Reports to Manager, Hearing Aid Program, Toronto

•    2 year College diploma in Office Administration, Medical Secretary or equivalent
•    2-3 years of related secretarial experience in social service agency
•    Proficiency in MS Office Suite, Internet and scheduling/database software
•    Accurate and efficient typing, filing, and photocopying skills
•    Intermediate accounting skills
•    Excellent organizational and interpersonal skills
•    Ability to take initiative in a team-oriented environment
•    Proficiency in American Sign Language (ASL) or willingness to learn
•    Demonstrated sensitivity to working in a culturally diverse environment
•    Proficiency in American Sign Language (ASL) or willingness to learn
