POSITION SUMMARY:
• Perform general reception and secretarial functions for the Audiology and Speech-Language Pathology Department
• Book client appointments and maintain office schedules
• Facilitate and provide secretarial support to managers and staff
• Provide general information in response to public inquiries
MAJOR RESPONSIBILITIES:
Direct Service:
• Greet clients and public
• Answer incoming calls
• Act as a resource for clients or public inquiries and refer calls or queries to appropriate departments or other resources
• Assist CHS clients in coordinating ENT appointments as needed.
• Book and confirm client appointments
• Assist clients with communication devices
• Provide appropriate back up assistance in the absence of other staff and Hearing Aid Program
• Other duties as assigned
Administration:
• Receive, sort and distribute all incoming mail/parcels for the department
• Responsible for correspondence, memos, photocopying, taking minutes as assigned, reports, budgets, fax, memos etc.
• Active maintenance of general office and confidential client files
• Provide general clerical support, e.g. photocopying, filing, faxing for office staff
• Prepare fee for service invoices and OHIP billing records
• Prepare ads for marketing of departmental services
• Other duties as assigned
Community Education:
• Act as a resource and provide information about CHS and related services
• Participate in community projects and specialized fundraising campaigns, e.g. United Way Campaigns, May Month, etc.
Professional Development:
• Attend all department and agency staff meetings
• Keep up-to-date on issues and information related to position and agency
• Acquire and maintain the ASL Proficiency requirement for the position (Intermediate Plus)
LINE OF RESPONSIBILITY:
Reports to: Director Hearing Health Care
QUALIFICATIONS:
• Post secondary diploma Office Administration
• Two to three years previous secretarial experience; social services background preferred
• Demonstrated accurate typing, filing, faxing, and photocopying skills
• Proficiency in MS Office Suite, ABELMed scheduling and billing system
• Demonstrated excellent organizational and interpersonal skills
• Demonstrated ability to work under pressure and meet deadlines
• Demonstrated prioritization, multi-tasking and problem-solving skills
• Demonstrated ability to work as a team player and independently
• Basic accounting skills an asset
• Fluency in American Sign Language (ASL) or willingness to learn
• Excellent English skills
• Demonstrated sensitivity to working in a culturally diverse environment
