POSITION SUMMARY:
Coordinate CHS’ videoconferencing services across 28 sites and perform related administrative functions for the service.
MAJOR RESPONSIBILITIES:
Direct Service:
• Coordinate all bookings for videoconferencing events across the province
• Respond to complaints and assist with trouble shooting during videoconferencing events
• Initiate and respond to general correspondence
• Provide administrative back up for the department of OIS Provincial as required (e.g. vacations, absences, overflow, etc.)
• Other duties as assigned
Administration:
• Receive videoconferencing requests and confirm services with parties and with program staff
• Process invoices for videoconferencing across the province
• Responsible for correspondence, email, fax, memos, minutes and notes, etc.
• Maintain confidential program files
• Act as appropriate back up for department staff in their absence
• Monitor, review and revise program forms
• Act as resource for staff in relation to general queries regarding videoconferencing
• Responsible for collating statistics and providing reports as required
• Provide training for videoconference booking staff in relation to support functions
• Other duties as assigned
Community Education:
• Provide immediate information for general public inquiries by telephone, correspondence and walk ins
• Participate and provide assistance in special projects and community campaigns e.g.: United Way Campaigns
Financial:
• Assist manager with the collection, collating and preparation of materials for budgets and other financial reports and with coding for accounting procedures
• Responsible for coding invoices and processing account receivables and journal entries for the program.
• Prepare and make bank deposits and transactions for videoconferencing services
• Verify, maintain and prepare financial information for processing including invoices, cheque requisitions etc.
• Maintain and provide accurate computerized financial records and statistics
Professional Development:
• Attend internal staff meetings
• Attend and participate in workshops/seminars related to position
• Keep up-to-date on issues and information related to position and agency
• Acquire and maintain the ASL Proficiency requirement for the position (Intermediate Plus)
LINE OF RESPONSIBILITY:
Director, Ontario Interpreting Services
QUALIFICATIONS:
• Diploma in Business, Office Administration or equivalent
• 2-3 years related work experience in a related field
• Proficiency with MS Office Suite, Internet, hardware and videoconferencing equipment
• Basic accounting for AP and AR
• Strong communication skills written and spoken (English and French)
• Occasional travel to other offices in Ontario; occasional evening and weekend work
• Proficiency in American Sign Language (ASL) or willingness to learn
• Demonstrated sensitivity to working in a culturally diverse environment
