POSITION SUMMARY:
As a member of the provincial Marketing Communication department, the coordinator is responsible for promoting The Canadian Hearing Society through media relations, social media, publicity and public relations. The incumbent will be responsible for creating a variety of publications, information and promotional materials as well as organizing and overseeing media events. Further, the coordinator is responsible for ensuring promotional standards across mediums and plays a lead role encompassing all efforts agency-wide.
MAJOR RESPONSIBILITIES:
Direct Service:
• Develop, lead, implement and coordinate a public relations marketing plan to maximize positive public exposure for CHS agency-wide
• Develop and cultivate contacts and relationships with local, national and on occasion international, media representatives by creating proactive media opportunities
• Develop and cultivate close relationships with key industry stakeholders (government, partner associations, suppliers, consumers, CHS Senior Management)
• Schedule all advertising, develop ad concepts, write copy and designate placement
• Create and maintain media lists and database of key media and public relations contacts
• Lead the creative and written components of brochures, catalogues, and other marketing collateral, including website content, for all CHS programs
• Initiate original research and write original materials for special projects
• Develop ideas and opportunities for feature articles, interviews, presentations, and other public relations activities
• Prepare media kits, media clippings, media status reports, e-mail alerts, and public relations mailings
• Research and write media materials including releases, briefing documents, CHS magazine content, speeches, annual reports, magazine articles, presentations
• Assist in organizing and coordinating local and provincial events including reviewing materials and messaging
• Liaise with regional offices and internal departments to assist in meeting their media writing needs
• Ensure all public relations communications to consumers convey consistent messages in keeping with CHS brand essence, standards, vision and mission
• Edit material, including web content, presentations, position papers
• Help reinforce a consistent professional style, tone and identity in all written materials to strengthen corporate public profile
• Oversee all content aspects of CHS’s member/constituent magazine
• Assist Provincial Program Manager (PPM), Marketing Communications in preparation of other projects as required
• Participate in Strategic Planning for CHS Marketing Communications
• Other duties as assigned
Administration:
• Event Planning: from concept to wrap-up
• Measurement: track the progress of various deliverables towards completion within deadlines and cost allowance
• Internal Requests: receive and respond to service and support requests as they pertain to public relations
• External Requests: receive and respond to requests for information and meetings as they pertain to public relations
• Feedback Mechanism: continuously gather input and coordinate feedback; conduct surveys, coordinate feedback and responses as required; analyse statistical data and provide recommendations
• Respond to expectations/concerns via regular, consistent and reliable communication with the parties encompassing internal/external and local/provincial levels
• Support the activities of any CHS committee whose mandate is related to public relations
• Maintain materials, templates and program materials, etc. e.g. on the CHS internal Intranet
• Regularly communicate status and priorities of all events and projects to the PPM
• Place orders and liaise with suppliers and other vendors
• Monitor filing and invoicing systems
• Contribute to the preparation of quarterly reports and budgets according to variable internal and external requirements as required
• General project support to staff and volunteers
• Other duties as assigned
Community Education:
• Provide information for general public inquiries as required
• Participate/provide assistance in community events and special projects e.g. fundraising campaigns, Maymonth, United Way Campaigns, etc.
• Represent CHS at various information sessions/conferences/events/shows
Supervision:
• Provide direction and support to staff and volunteers who assist/participate in the projects or media events that are coordinated under this portfolio
Professional Development:
• Acquire and maintain the ASL Proficiency requirement for this position (Advanced Plus – under review)
• Attend internal staff meetings
• Attend and participate in workshops/seminars related to position
• Keep up-to-date on issues and information related to position and agency
LINE OF RESPONSIBILITY:
Provincial Program Manager, Marketing Communications
QUALIFICATIONS:
• College or University Degree in Public Relations, Communications, Journalism or related discipline
• Minimum 3-5 years related work experience; preferably working in not-for-profit environment
• Superior English skills; French an asset
• Proficiency in American Sign Language; LSQ an asset
• Ability to think outside the box; creative and critical thinker; excellent judgement
• Exceptional ability to develop interpersonal relationships; foster teamwork and negotiate in a diverse and fast-paced environment with competing priorities
• Demonstrate strategic approach; results driven
• Proficiency in Microsoft Office Suite and Internet
• Demonstrated sensitivity to working in a culturally diverse environment
