Information Officer - Provincial 

Location: Marketing and Communications, Head Office, Toronto
Start Date: Immediately
Minimum Start Salary: $44,556 per annum 

Position Status:

Permanent; Fulltime, 35 hours per week

 

POSITION SUMMARY:

The information hub and administrative support of the Provincial Marketing and Communications department, Head Office.

MAJOR RESPONSIBILITIES:

  • Key provincial person responsible for handling and filing product and information orders, from internal CHS program and regional staff, on a daily basis, in a timely, professional and accurate manner
  • Field and fulfil all external requests for products and information from email ( info@chs.ca), the CHS website, toll-free calls, written requests, walk-ins, etc.
  • Answer all information requests or refer to appropriate CHS regions/programs or external resources
  • Draft, edit and update materials for external audiences, e.g. resource lists, articles, brochures, status reports, open letters, website content, etc.
  • Research and find opportunities to enhance the profile of CHS, i.e. media, trade tables, periodicals
  • Be familiar and keep current with the work and mandate of all CHS programs and regional offices as well as events, activities, resources related to culturally Deaf, oral deaf, deafened, and hard of hearing communities
  • Assist in Marketing and Communications efforts for special projects e.g. May Month events, Open Houses, Deaf Awareness week, Noise Awareness Day, etc.
  • Source, maintain and monitor inventory of all CHS information material: videos, books, pamphlets, posters, games, T-shirts, etc.
  • Maintain central archives of all CHS information materials; maintain information displays, bookings and supplies
  • Maintain statistics and data collection information on information requests; track and maintain regular feedback/reports about the nature, volume, geographic location of information requests
  • Vet program and regional submissions to the website and navigate the website for errors and misdirected links
  • Provide general secretarial support to the Marketing Communications department as assigned
  • Responsible for general administrative duties such as photocopying, minutes meeting set up, ordering office supplies, invoicing, etc.  Send, receive and distribute departmental postage/courier, etc.
  • Maintain departmental attendance reports
  • Invoice all sales and monitor accounts receivable; process and maintain files on all supplier invoices; petty cash; liaise with Financial Services

LINE OF RESPONSIBILITY:

Reports to Director, Marketing and Communications

 QUALIFICATIONS:

  • Bachelor’s degree in English or equivalent
  • 3-5 years related work experience
  • Demonstrated experience in a customer service/information distribution role experience preferred
  • Knowledge of Deaf culture and the continuum of hearing loss
  • Clear understanding of CHS and the full spectrum of programs and services
  • Demonstrated maturity, good judgement, effective communication skills, ability to work under pressure and with a wide variety of people
  • Demonstrated excellent organizational, research and written skills
  • Proficiency in Microsoft Office Suite
  • Experience using project management software such as Basecamp or MS project
  • Experience using website content management systems such as Drupal or Joomla
  • Demonstrated excellent customer service and interpersonal skills
  • Proficiency in American Sign Language (ASL) skills or willingness to learn
  • Demonstrated sensitivity to working in a culturally diverse environment
